job description

  • Performs general secretarial duties, including photocopying, filing, faxing and sorting and distributing  incoming mail
  • Daily monitoring of the whereabouts of all the staff. This includes maintaining a list of all contact numbers (client sites and other location) to ensure that these people may be easily contacted as required
  • Establishes and maintains relationships with clients and/or clients' secretaries/staff over  the telephone and in person (where possible) in order for them to feel that they are receiving  the best possible service from GEWORD
  • Arranges local and international travel and accommodation for staff as required (ticket, hotel…)
  • Maintains confidentiality of all documents
  • Prepare PowerPoint Presentations
  • Answers the telephone promptly and politely, ensuring that accurate  telephone messages are taken and distributed promptly
  • Ensuring the availability of paper in printers, Xerox machines
  • Maintains and updates files of original and translated materials; may perform a variety of clerical duties related to typed materials such as filing, copying and record keeping, and other duties as required
  • To coordinate and control Audit Archive, including: organizing of special room, storage for audit files; issue and receive of the files to the Archive
  • Maintenance of the engagement database, dates of documents, reminder of dates of destruction
  • Keeping track of reference numbers for proposals/contracts/official letters
  • Arrangements for internal meetings, bookings etc
  • Assist management to organize / prepare training / seminar materials
  • Substitute Reception position when Reception is on lunch break/holiday
  • Ensure that engagement budgets are in line with the retain
  • Ensure that all PDF versions of the close out files are stored on server
  • Ensure staff CVs are up to date including client details and industry experience
  • Assist in organizing events for Clients and office employees: to choose the place, conclude a contracts with Contractors, organize payment, paper work
  • Assist in organizing trainings / seminars for employees for clients and office employees
  • To interact on a regular basis with Contractors and Suppliers on questions of office fitting with necessary furniture and equipment
  • To perform daily visual monitoring of office premises (work zone, kitchen, cloakroom, meeting rooms), to keep them clean and tidy. To interact with Contractors on issues related to repair and cleaning of the office.
  • To supervise and coordinate works on facilities management: choose Contractors and Suppliers, collect and draw documents, recruit staff for work completion, if necessary;
  • To control operability of the office equipment and to send it to repair or adjustment in case of failure
  • To support employees with business cards request
  • To perform other instructions and tasks set by her performance manager within the limits of her competence
